Airdate Session List: setup guide
Airdate Session List is a free HubSpot module for a recurring webinar, office hours or a live demo. You type the sessions once, in any order. Visitors see them sorted by date, with the next one highlighted, a "Live now" badge and a join button while a session is on, and the past sessions with their replay. Every time is shown in the visitor's own time zone, and the list changes by itself when a session starts or ends.
It works on every HubSpot plan. No app to install, no account to create, no outside script.
Important: the module is a list with links. It has no registration form and no countdown, and it does not create session pages. Registrations go to the page or form you link to. See "Limits" below.
1. Install and add the module
- Install Airdate Session List from the HubSpot Template Marketplace.
- Open a website page, landing page or blog post in the editor.
- In the Add panel, search for Airdate Session List and drag it where you want the list.
- Give each row of Sessions a title and a Start date and time, set the Registration link and the Live link, then publish.
A new module comes with three sample sessions and no dates. In the editor, sessions without a date get sample dates so the block never looks empty. On the live page, a session without a date is not shown: until you set the dates, visitors see the heading, the introduction and "New sessions will be announced soon." See "In the editor" below.
2. Heading and introduction
- Heading and Heading level (H2, H3 or H4): the title above the list, "Upcoming sessions" by default. Leave it empty to show none. Pick the level that fits the outline of your page.
- Introduction: one line under the heading, such as "Live every other Thursday. Pick a session, or catch up on the replays." Leave it empty to show none.
3. Sessions
One row per session, up to 40. Type them in any order: the module sorts them by date, and past sessions leave the upcoming list by themselves.
- Title: the name of the session.
- Start: the date and time the session starts. It is one exact moment: visitors see it in their own time zone.
- Duration (minutes): 45 by default, from 5 to 600. During this time the session shows "Live now" and the join button.
- Speaker: a name, or a few words such as "The product team". Leave it empty to show none.
- Summary: one line under the speaker. Leave it empty to show none.
- Registration link for this session (optional): a registration page for this session only. Leave it empty to use the Registration link of the module.
- Replay link: the full address of the recording, such as
https://vimeo.com/...or a page of your site. Add it after the session: the session then shows "Watch the replay" in the replays.
Speaker and summary show on upcoming sessions only. In the replays, a session shows its title, its date and its replay link.
4. Registration link and live link
- Registration link: your registration page or form, used by every upcoming session that has no link of its own. It is the Register button of each upcoming session. With no link at all, a session shows no Register button.
- Live link: where people join while a session is live, such as a Zoom or Teams link, or a page of your site. It is the Join now button, and it always opens in a new tab.
The Register button follows the "open in new tab" option of its link field (the session's own link, else the module's). An email address typed as a link opens the visitor's mail app. Links that open a new tab say so to screen readers.
5. How many sessions show
- Upcoming sessions shown: 4 by default, from 1 to 40. The nearest ones are shown; the others wait their turn and appear as earlier sessions end.
- Show the replays: on by default. Turn it off to hide past sessions completely: the module then lists upcoming sessions only.
- Replays shown: 3 by default, from 1 to 40. The most recent replays are shown.
6. Texts
Every word the module adds is a field, in the Texts group. Write them in your page's language:
- Next session badge ("Next session") and Live badge ("Live now");
- Join button ("Join now") and Register button ("Register");
- Replay link ("Watch the replay") and No replay yet ("Replay soon");
- Minutes ("min"), shown after the duration;
- Replays heading ("Replays");
- No upcoming session ("New sessions will be announced soon.");
- Time zone note ("Times are shown in your time zone.");
- Editor note: no registration link, shown in the editor only.
Dates and times follow the language of the page.
7. Appearance
In the Style tab: accent (the next session's edge and badge, the buttons, the replay links), live color (the live session's edge, badge and join button), button text, text, secondary text (dates, summary, notes), card background, borders and corner radius (0 to 24 px). The module uses your theme's font.
How the list works
- Sessions without a Start are left out on the live page.
- The others are sorted by start date.
- A session is upcoming until its end (start plus duration). The first upcoming session has the Next session badge and an accent edge.
- From its start to its end, a session is live: it shows the Live now badge, a pulsing dot and an edge in the live color, and its button becomes Join now. The button opens the Live link in a new tab, or the registration link if you did not set a live link. With neither link, "Join now" shows as plain text. While a session is live, the sessions after it have no badge.
- At its end, the session moves to the Replays, most recent first. With a Replay link, it shows "Watch the replay". Without one, it shows "Replay soon" for 14 days after the session, then it leaves the list. Add the replay link at any time, even after the 14 days: the session comes back with its link.
- When no session is upcoming, the list shows "New sessions will be announced soon."
The switch happens at the exact start and end moments, even on a page that is already open, and the list is checked again every 30 seconds. Cached pages stay right too: everything is worked out in the visitor's browser.
Time zones
Each Start is one exact moment. Every visitor sees it in their own time zone, with the short name of the zone:
- upcoming sessions: "Thursday, March 6, 2031 · 11:00 AM EST · 45 min" (the day, the time, the duration);
- replays: "Mar 6, 2031" (the date only).
A session starting at 5:00 PM in Paris reads 11:00 AM for a visitor in New York. A session late in the evening in one zone can fall on the next day in another. Under the upcoming sessions, the line "Times are shown in your time zone." says so; it shows when at least one upcoming session is listed.
The live state uses the same moment for everyone: a session is live at the same instant in every zone.
In the editor
- Sessions without a Start get sample dates in the editor and in previews: tomorrow at 5:00 PM for the first row, then one week later for each next row. This shows how the list looks; the sample dates are never used on the live page.
- When the module's Registration link is empty, a yellow note in the editor says so. Visitors never see it. It stays hidden when every session has its own link.
Without JavaScript
The sessions are sorted, dated and split between upcoming and replays in the visitor's browser. Until that is done, the sessions stay hidden, so a past session is never shown as upcoming. If a visitor's browser does not run JavaScript, the heading and the introduction remain, and the sessions do not show.
Accessibility
- Upcoming sessions and replays are ordered lists. The replays have their own heading, one level below the main heading (H3 under H2, H4 under H3, H5 under H4).
- When the list refreshes, keyboard focus stays on the button it was on.
- The next and live sessions are marked with words ("Next session", "Live now"), not by color alone. The live session is also marked as the current time for screen readers.
- The pulsing dot of the live badge stops when the visitor's system asks for reduced motion.
- Buttons are at least 44 px high and have a visible focus outline in the accent color.
- Dates are in
<time>elements with the exact moment. - The heading level is yours to choose, to fit the outline of the page. When there is a heading, the block is labelled by it.
Limits
- One series per module. For two series, add two modules. Up to 40 sessions per module.
- No session pages. The module is a list on one page. It does not create a page per session or a replay page: the replay link opens the address you give.
- No registration form in the module. The Register button links to your registration page or form.
- No countdown and no calendar buttons. For a countdown to the next session, add the free Airdate Countdown module beside it. For "add to calendar" buttons, add the free Airdate Add to Calendar module.
- The sessions are typed by hand. They are not synced with HubSpot marketing events, your webinar tool or your CRM. Add each new session, and each replay link, in the module.
- The switch uses the clock of the visitor's device. A visitor whose clock is wrong sees the wrong state.
FAQ
Does it need Content Hub Pro?
No. It works on every HubSpot plan, including free.
Does it work in emails?
No. It works in website pages, landing pages and blog pages (posts and listing).
Do I need to update the page after each session?
No. The session moves to the replays by itself, and the next one gets the badge. Only add the replay link when the recording is ready, and add new sessions when you plan them.
My page shows "New sessions will be announced soon." Why?
Check that the sessions have a Start date that has not passed. In the editor, sessions without a date get sample dates, but on the live page they are left out.
A past session has disappeared. Why?
Without a replay link, a session shows "Replay soon" for 14 days, then it leaves the list. Add its replay link to bring it back. Check also Replays shown: only the most recent replays are listed.
There is no Register button. Why?
Set the Registration link of the module, or the link of each session.
Can I translate the labels?
Yes. All texts are fields, in the Texts group. Dates and times follow the language of the page.
Can I use it more than once on a page?
Yes. Each module has its own sessions and settings.
Texts in French, German and Spanish
Every word the module shows is a field. To use the module on a page in another language, open the module in the editor and paste these texts in the matching fields. Keep the words in braces, such as {n}, as they are: the module replaces them. Dates, times and numbers already follow the language of the page.
